hi everyone my name is Alex torpy I'm the town manager here in Hanover New Hampshire and I'm really excited that you're interested in the job of senior assistant clerk slash deputy director of administrative services so this is a new position that we're actually creating uh Hanover used to have an administrative services department when there was a person in charge of that department who had multiple roles over the last few years that has shifted a little bit as new people have come in and basically what we've done in the last couple months is kind of recreate this administrative Services Department that is overseeing a handful of different internal functions one of those functions is the sort of front office which includes our Clerk and tax collector staff so we have two staff in those positions currently who have been doing a really amazing job for a long time part of your job will be to help support and supervise them as well as report to the director of administrative services on issues that are appropriate for them and for something things reporting directly to the town clerk you'll also be working a lot with myself and Kerry Osgood in the town manager's office as we predominantly do the coordinating of the select board as well as for our town meeting every spring and so this position is going to oversee a couple different areas um within administrative services so a really big one is records and this goes from right to no requests and creating um kind of a more comprehensive process and policy than we have in place currently it includes making sure departments have the right records retention schedules I mean it also includes working with me and our I.T department and doing some digitization projects and moving some of our permits and processes more online to make it uh easier for the public to access to improve how we can find things to reduce the amount of paper that we use all that kind of good stuff there's a couple other things that are going to be really important for this position as well so the other is working to help coordinate activities between our governing and legislative body so that's our select board and town meeting and so this position is going to be expected to attend along with me all of the select board meetings which are twice per month um and those are Monday nights at seven o'clock and so in those meetings you'll be providing a little bit of support along with myself for the meeting so if there's questions on procedures or anything like that but also taking minutes of the meetings as well as participating with me and Carrie who create the agenda along with the select board chair before each of the meetings we'd also be looking for feedback and process improvements about how all that works that also includes preparing for town meeting which is every May here in Hanover this also would include supporting and coordinating between all the different election officials and staff so between the town clerk uh Deputy town clerk moderator supervisor of the checklist and the two staff I mentioned before part of your responsibility in this position would be doing things like holding monthly meetings between those staff which we just started a few months ago which have been really great I mean just finding other ways to liaise and coordinate and manage everybody and making sure everybody's talking um and again we'd be looking for some of your uh policy and process ideas there because again this is a brand new position you'd also be accessing electionnet and also would need to either have or become licensed or certified to be a municipal agent a registered Municipal agent in New Hampshire so you could perform all of those functions as well part of the goal of this position is also to provide the two staff in the front office the ability to for more flexible scheduling or taking time off or things like that there's a couple other things that will be important as well some of that might be working with the tax collector so each of our two front office staff work for Clerk and tax collector so you'd be working with them on some of the tax collecting and billing you'd be involved directly in managing those two employees that I mentioned before and so finding ways to support them and also kind of being the supervisor in our front lobby which also includes our tax assessor um and parking as well so this is a really exciting position for the right kind of person because it's not written in stone how this is all going to work you can look at the job packet and the job description to see what we're thinking here but some of this is going to be built around you and so we need someone coming in who's not only familiar with New Hampshire local government especially rules and procedures related to records retention governing body meetings and minutes and things like that but also someone who is interested in creating something not just walking into something that's already sort of moving and so we've got a lot of really great staff who work together well already but we are making some changes to how things are organized and you would be overseeing part of that so someone who's gonna be able to walk in have really good time management skills be able to be creative be able to have good interpersonal skills so that you can interface with members of the public and all the different staff and officials that you'll be working with those are the kind of things that would set someone up for success in this position and there's a lot of opportunity I think to grow in this as well as you get to build everything around what we decide to do over the coming months and years so if you're a self-starter if you're passionate about local
