250th Anniversary Celebration Wrap up Meeting
The 250th Anniversary Committee approved minutes from June 4, July 18, and July 16. Total spending was $2,792.68 on the event, which raised $4,281, leaving $1,878.32 for distribution. The committee voted to donate $1,000 to the Sons of the American Revolution, $150 to the Daughters of the American Revolution, $150 to the Kingston Fire Women’s Auxiliary, and approximately $678 to the Heritage Association. Plans were made to present the Sons' donation at their upcoming meeting. Remaining supplies will be donated to the Heritage Days event and the Rec Center. So I don't know if you want to do like 250 and 250 to the daughters and the fire auxiliary and then take the other remaining and split that in half or more. I think that's pretty high. And she was just a sweetheart and she was like no this has been wonderful. So just a lot of good feedback. And then Timberline group they came up to me because I asked them when they were playing next and I said I'd love to announce it. And so I did and they came up and thanked me and said oh my gosh thank you for announcing when we're playing next. Just little things like that. And as I was walking into the fire fighters and actually trying to see where my kids were. A woman stalks me and actually started her sentence with I normally have nothing good to say about this town. But I loved today. And I had no idea who she was. But that actually meant a lot to me. Probably more than the ones that just said good at me. It was like you know when you can turn someone's attitude and tone one of the town with something so simple. I think it really puts into the fact that all the work we did throughout the last few months means a lot. There wasn't so much action where you were like what do I do next whatever. It wasn't frenetic and a lot of those events are so overpowering that you don't know what to do. And it was so it was nice and calm and we're not used to that anymore where it's just a okay sit in the grass and just. My friend and her husband, or my friend and her son came over from epic and she's like I feel like I'm in a Hallmark movie. Oh my God. I was like that's the best compliment I've watched today. I sent photos to my company and said like you know just a little thing like I did this weekend. And they all asked if we were part of the Gilmore Girls Town. That's what they said on my workflow too. That's so funny. Everyone was like do you live in the Gilmore Town? Like you're beautiful. I was like I've never even seen the show but sure. I mean my family flew in and I asked and I said was it worth it? You know traveling across from Colorado. Yeah? I was like yeah it was a good time. We had fun. Yeah. But you number and number but because of the weather we kind of sped it along which I think was a good thing. I agree. You said the same thing to Lori the next time. I was like that was a good. That was probably a positive because it would have gotten a little dull going on for what we had the event. So if we had more stuff going on maybe it would have been good but I actually think it worked out for the better attitude. Yeah. And the announcements on the microphone that was another thing that a lot of people asked. were saying super thankful for because especially with the change of agenda and all that stuff. Having Jessie go another time but the fact that we announced it instead of time. And then also that the sons were changing their time. And you know just they a lot of people especially the ones listening similarly. And then there was a group kind of along the tree that was like thank you for letting us know. Like normally you just kind of got to guess what's going on. Yeah. And so. Yeah. It was all good feedback. I don't think I didn't have one negative Nancy. Yeah. I agree with that. Maybe 2,000 more dollars in the sense to get a little bit more excitement in there. Or whichever, I'm trying to kind of word it, but like there was more we could have done. But I think honestly when it got back down for the last couple months, I'm not sure if it was like per se we did not get them word about enough. And I think that was a big piece of it. We got a lot of donations and stuff. But I'll tell you, I was panicking getting the Facebook thing. I was like, I'm going to share it again today. I'm going to share it again. Because I feel like we weren't getting a lot of interest shared back. Like I think at the end of it we only had like 50 people saying they were coming to the event on Facebook. But we had way more than that show up. But I guess just getting the word out more. I just don't know how I would have done that. What do you think the total pic counts is? I actually was counting on my phone with different angles because I took a couple photos. And with the group along, there was a very large group underneath the trees with their lawn chairs. And then the chairs were almost full. Actually they were just about full. And then there were crowds underneath the tent. I can't remember exactly because I did it the day after the event. But it was close to 150 when I counted of heads. But that also includes people who were there like sponsors. And that was just what I'm keeping in my picture from when I took it from the front. And I mean that's a pretty decent number. I can go back and double check it again. My guess was about 200 all total. That sounds about right. Because in my photo I didn't get like any of the sons and the daughters. People in the back are just there for the event. So the one feedback that I had was -- it had to do with Partners Bank, but we've kind of already talked about that. The communication between I guess what their expectation was for what they were receiving for their donation as opposed to -- They just didn't have any communication or didn't -- the word -- I actually talked to somebody on the phone. They hadn't talked to anybody, they said. So they didn't know if they were setting up a tent or, you know, any of that. So it's just a general communication comment. Yeah. Makes sense. I think there was also like the delay to like getting stuff from Marissa as well. I know and I didn't talk to her on the phone, but I talked to her on email that there was someone who thought that they had a move. But did it. Right. So. Right. Because I think that people are so used to when they pay for a table or sponsorship, they expect like a vendor thing. And then when, you know, we were explaining to people that's not what this event was about. And when I talked to the lady at Partners, I said, you're more than welcome to have -- but I talked through what the event was. She goes, yeah, that doesn't really sound like something that, you know, they were selling a product. It just wouldn't fit right with the other folks that were going to be there. Sure. I guess kind of going back to the beginning of this and bringing up the unfortunate scar to the event. I would say, understanding from the very start, probably even before I was on the committee, but definitely when I joined, I wish I asked more questions about the donation process. Mm-hmm. Because that's not even -- I'm not going to say that not everybody understood it, but it was very, go talk to this person. Maybe this person knows. Have a meeting with this person. Then someone else would have a meeting with the same person and they'd be told something different. And it was very, honestly, to a point that -- not that I was going to leave the committee, but it was to a point that I was losing the fun of it. Okay. And that was really frustrating on my part because I would love to do more things like this. But as I had to do it for the last meeting, as long as it's not a donation of that because this was a little tough for me getting. But I'd rather instead -- I'm going to pull that comment back and -- no, I'd rather figure out how to do it better. Yes. And I said it jokingly when I said that. But that's a big piece because the town has their processes. They have to follow, of course, the guidelines of the city and the laws and everything. But there's got to be -- there are millions of -- like so many towns that do this type of thing. There's got to be a way we can build that process into this town to incorporate the generations that use different types of things. And all of that is really positive feedback because Marissa eventually did get something set up. You know, a lot of it is depending on how you -- credit cards only goes into the general fund. And we can't have it going into the general fund. So -- but we know now that we can on the website if we -- if there's -- the company needs like six weeks, which is crazy, to set up the money to go into a different account. So in the future, people can do credit card donations to a specific fund. But we just have to have plenty of time. Not to -- I don't want to go down and switch back. Yeah. What kind of funds are you in the sense of like a -- No, just a different account. Yeah. Because -- You can say this is for this -- Yes. -- particular committee, whatever. Yeah. And once that happens, it goes to that. Yeah. So ideally, it's something we could have done at the very beginning of the -- But we -- we didn't -- but we were -- we learned that through the process. Okay. Because we were trying to -- through this, we're like, yes, we can use credit cards. But then the bottom line is the way our system is set up. Any credit card transactions through our website go into the general fund. Donations cannot go into the general fund. So for the future events, if we want to use through our portal the same credit card processor for this event, they need six weeks' notice, they can then link it to a different account. Okay. And then we don't have the problem. So we just didn't know that. Can the account set up like a static account? Or also a -- A generic -- That takes place throughout years, you know what I'm saying? Yeah. So obviously we use that account, cleared out, and then it's available at zero minutes for another committee -- Okay. Yeah. It's like if it's just an account for donations. Yeah. Okay. And that's actually a conversation that when this all started, and obviously, again, it's learning through the process. We've asked the questions to Marissa, and she talked about revolving funds. She said, why don't we have like a -- I didn't use the word static, I used something else, but I said a standard donation revolving fund for these, you know, events that come through or something. So something similar, but it sounds a little different than a revolving fund. Well, it's -- it's -- the types of revolving funds are very prescribed via RSA, and you can't have just a general -- No. Nope. Yeah. You can't do that, right? So we are kind of, you know, our -- our hands are tied because of a lot of regulation that way. Yeah. But these -- this is -- I mean, there's more than one way to scan a cat, so we just have to figure it out, right? Yeah. Yeah, we're not the first time to do a donation event, so I think -- Oh, yeah. And just so you know, even though there's -- if Kingston Days were to happen, and you were to volunteer on that, and -- I'm just -- I'm just -- so there is -- there's a fund for that, expressly for Kingston Days. Yes. But there's still a lot of fundraising involved in that, because it's not -- you don't put on an event for $25,000. But Kingston Days was presented on Warner, wasn't it? Back in the day, the funds was. Yeah. The funds was. The funds was. The funds was. So how -- how Kingston Days is set up, we have a town anniversary fund, and the next one is the 350th for the town, I believe? Yes. 375? 375. 375. Whatever. The next 25 milestone. There's a fund set up for that, right? And it's got quite a bit of money in it. Kingston Days is used as a feeder to that as well. So there's a separate Kingston Days fund, and it's expressly for Kingston Days, whatever that encompasses. And any money left over is supposed to go into the anniversary fund. So that's how it's set up. And so there's a pocket of money in Kingston Days that -- they give you $25,000 seed money. And the event costs $60,000. Well, you're raising all of that money, and you're giving back the $25,000. And then you're giving back a large portion of the profit, which goes into the big kitty. So there's always fundraising. So the process to do that is what you're talking, is what I'm hearing, is that that process for donations and fundraising is very archaic. Very -- here's a check or cash, and that's the only way. Well, is it that how Kingston is going to accept it? Or is it because they had their own fund, they were able to -- They had their own fund, so they could accept -- yeah. Got it. Does the Kingston Day fund -- does that money stay in that account if they don't have a fund? Or does it just keep growing at that point? Mm-hmm. I'm sure it's an account that we're interested in.
