Commissioners Allan Hebb and William McKee met with Acting Clerk and Treasurer Jane Hebb. A legal bill was received and voted to be paid. Jane Hebb sent letters to five residents requesting photos of copper connections by 9/15 to complete the Hazen and Sawyer database, with a final deadline of 10/14/24. The Permit to Operate was sent to DES; Jane noted documentation supports increasing the user limit to add six lines for unused connections, including the O’Donnell barn, Jeffrey Hebb, West Cemetery, and two disconnected properties. Jane Hebb received a draft audit and will prepare the Management Representation letter for next month's signing. Jane Hebb will contact Granite State Rural Water regarding reducing high pump phone bills. Jeff Hebb completed bush hogging, and David will cut two small trees outside the fence. 9/3/24 Those present: Allan Hebb and William McKee Commissioners, Jane Hebb, Acting Clerk and Treasurer The monthly meeting started at 7:00 PM. The minutes of the August monthly meeting will be read at the September meeting. There is no update on the 6 hour pump test from Edgewater Strategies and Gilford Well. Jeff Hebb did the bush hogging and said there were 2 small trees outside the fence that need to be cut. David will take care of it. He has already cut trees on the inside of the fence. Jane has been working on the lead and copper spreadsheet that Hazen and Sawyer has for each connection, We have until 10/14/24 to get pictures of each connection inside the houses into the database. We still have 5 left to do. Jane sent a letter to the 5 asking them to either take the pictures or call us to come and take them by 9/15. A bill was received from the lawyer and it was voted to pay it. Jane will contact David to see when he can read the meters with Bill. Jane has received a draft copy of the audit but has not had time to read it. She will print out the Management Representation letter for the Commissioners to sign next month. Next months meeting will be the second Tuesday of October, 10/8. Jane will ask Granite State Rural Water about their ideas on phone converge for the pumps since the phone bill is so high. The Permit to Operate for this year has been sent to DES. When Jane talked to DES about the 51 number of users on the permit to operate, she said this could be increased because the documentation when the new system was done proved that there was enough water for more users. We need to add 6 more lines to the permit to operate to cover the connections on the main line that are not being used at the present time. They are 2 connections for the O’Donnell barn, Jeffrey Hebb, West Cemetery, and 2 that are disconnected, Stimson and the white house at the Pastures. Jane and Bill have been adding 911 addresses to original books of the diagrams of the system. Luis from Granite State Rural water returned the maps.
